4 Data Security

We take the security of your data seriously and implement appropriate technical and organizational measures to protect it.

Personal Data Encryption

All personal data, including user credentials, contact information, and company details, is encrypted both in transit (using TLS/SSL) and at rest using industry-standard AES-256 encryption.

Uploaded Files and Photos

All files uploaded during inspections, including photos and documentation, are automatically encrypted at rest using server-side encryption with AES-256. Files are also encrypted in transit using TLS/SSL during upload and download.

Inspection Report Data

Inspection report data (checklists, text responses, metadata) is not encrypted at rest. This is because reports are designed to be shared through email delivery and PDF downloads, which require the data to be in a readable format. When you email a report or download a PDF, you are responsible for the security of that exported data.

Security Measures

  • Secure HTTPS connections for all data transmission
  • Encrypted database storage for personal information
  • Regular security audits and vulnerability assessments
  • Access controls and authentication requirements
  • Employee training on data protection
  • Incident response procedures
  • Regular data backups with secure storage

5 Data Sharing and Disclosure

We do not sell your personal data. We may share your information only in the following circumstances:

  • With your company's managers (for drivers' inspection reports)
  • With third parties you explicitly authorize (e.g., when emailing reports)
  • With service providers who assist in operating our platform (under strict data protection agreements)
  • When required by law or to respond to legal process
  • To protect our rights, privacy, safety, or property
  • In connection with a merger, acquisition, or sale of assets

We never sell, rent, or trade your personal information to third parties for marketing purposes.

6 Data Retention

We retain your data for as long as your account is active or as needed to provide you with services. After account termination, we retain data for a limited period to allow data export and comply with legal requirements.

European Union Compliance

Vehicle inspection records are retained for 5 years in compliance with European Union transport regulations. This ensures you maintain proper documentation for regulatory audits and compliance checks.

After the applicable retention period, data is securely deleted or anonymized. You may request earlier deletion of your personal data, subject to legal retention requirements.
